The large number of email that many users receive is a major problem for many organizations or individuals. What’s more email that hasn’t been effectively dealt with upon receipt is going to mount further and further up, and may be the cause of undue stress and hinder productivity. Below are some very simple yet effective tips to organize your emails:

Folders
Quite simply, set them up and use them. All material related to specific projects or clients should be stored together, including your replies. For instance if you have three clients, Power, Truant, and Max, then set up a folder for each of them.

Store replies in same folder
One can set up many email clients to store sent mail in the same folder that the reply came from. This ensures that if you are filing your incoming mail properly that your reply will be kept in an appropriate place too.

Brevity
Brevity is the first defense in the deluge of email that you receive, a quick message that can be used or deleted by just skimming the subject is far more efficient than forcing the recipient to actually open the email to read the message. Consider the following; a message entitled “leaving”, which could be a member of staff resigning, someone leaving the office now, or just their plans to go to the pub after work. The message body actually read:

I’m leaving at 5:30 and going to the pub. Coming?

So why bother with a message content at all? The following with (end of message) as a subject would provide the same message and save the recipient time by not needing to open it.

Keep an Empty Inbox
The easiest way to stay on top of email is to keep you inbox empty. Let’s assume you have a regime for dealing with email; now when the mail is read, you should try and deal with it immediately.

Email reading routine
Firstly you need to consider what your ‘real’ job is. It’s not likely to be master of email reading. So spending the day chained to the inbox is a bad thing. The ideal situation is you read you email regularly enough to have relevant information, but not so regularly that you are a slave to the inbox.

IMAP rather than POP
IMAP email has several advantages over POP. Firstly, it remains on your server, so as you move between computers your email follows you – all your email, and it’s stored in the correct folders.

Procmail and Filters
Procmail is a system that allows the server to automatically examine a message as it arrives on the file-system or is in your inbox and move it, forward it elsewhere, deletes it or alters it in some manner. Most email clients have additional filters that will perform a similar function, which you will have to use if you are still using a POP email account.

With an IMAP account procmail will perform the filtering for you, so as you download your mail, some of it will be pre-filtered for you, and be in the correct directories. The filtering could be for your mailing list, messages from certain individuals, or do some basic Spam filtering on messages.

Return to Inbox
You may like to consider to set your email “Return to the Inbox” rather than opening the next email.

Tools > Options > Select Return To Inbox from drop down.

This has the major benefit of leaving the unread settings intact and not opening Spam mail or mail with potential viruses or exploits.

After a difficult year, Yahoo! now seems to be moving on its own. Today, Google formally announced that they have ended their advertising agreement with Yahoo! The agreement was announced in June at a time when Yahoo! was facing takeover attempts from Microsoft. At the same time, they also had a proxy battle with Carl Icahn, which was for the control of the company.

Yahoo! & Google had both voluntary agreed for delaying their partnership and it was undergoing a review by U.S. Department of Justice. Government reviewed the deal, as they had anti-trust fears over this partnership.

Amongst the many concerns made by the U.S. Department of Justice, one was that the partnership between Yahoo! & Google would have eventually led to the 2 companies enjoying a combined share in the internet market of around 90%, with Google contributing 70.4% and Yahoo! 19.4% (these figures are based on a statistics submitted by a web-based company in September 2008). Competitors, other then these two, which includes the likes of Ask, AOL and MSN Live don’t even have a double digit contribution in the market. This being said, it was highly unlikely for U.S. Department of Justice approving such a deal of higher proportions over anti-trust concern and without major restriction within their partnership.

In their statement, Google cleared that this move of end partnership with Yahoo! was primarily due to the fact that such agreements have very little chances of taking place without going through lengthy legal battles. It was also reported by current Search Engine Giant that there were some advertisers, who had concerned over their agreement with Yahoo! They felt that with the company moving forward for getting this deal executed properly, it would have only distracted them from carrying out their core mission.

Google is going to roll out the next beta version of Chrome (Google’s web browser) by this week only. Users of Google can know that the new version is available to them by clicking on the wrench icon and then looking at it’s ‘about’ page. The newer release will have 0.3.154.9 as its number.

This latest version of Google Chrome will be coming with top issue fixes, security updates and several other changes that should affect the function of this browser. Here’s a rundown of all the updates that will be available at your helm with Google Chrome 0.3.154.9:

• It’ll be difficult for manipulating the address of the browser, which was previously used to show different addresses for spoofing attack.
• Scrolling the page of the browser will be possible by using the touchpad of your laptop.
• The problems with plug-ins, which had an impact on its popularity, have been sorted out to a large extent. Now, plug-ins, which include QuickTime, WMP, Silverlight and Flash should work better than before.
• Your browser would no longer crash, if you close a tab containing PDF files (another drawback of the previous version).
• All secure-access sites will no longer be stored in the data history of the user.
• If you’re using web proxies, then you are sure to get better performance.

You’ll even be able to identify the modifications in the new Chrome browser, from the view point of user interface. These modifications include changes in the position where new tabs, new windows and new incognito window options will sit. Again, there is news that you’ll find improvement in its spellchecker and the handling of downloaded executable files.

I tested that was integrated with a browser rather than being a separate piece of software. You can take notes and send them as e-mails if required. This is the only PIM feature to be seen here. The e-mail storage location cannot be easily changed, and you need to go into the advanced configuration options to do that.
Opera Mail Client is a good client overall, but you may probably use it only if you use the Opera browser.
